Document Management Tips and Tricks

This tutorial will show you some of the tips and tricks to managing your documents in Healthy Roster, such as deleting a document, editing a document type, and editing expiration dates.

00:00: Hi, this is Maggie from healthy roster. And in this video. I'm going to review some document management tips and tricks. 00:07: First I'm going to show you how to delete a document inside an athlete's profile. Sometimes a parent or guardian or an athlete will create a document that has incorrect information and they need it to be deleted. So they can start over to do this locate the athletes profile select the three dots to the right of the document and select delete. 00:29: After you have selected delete on the document, you will see a pop-up confirmation and select okay to delete the document. 00:38: It next I'm going to show you how to edit a document type throughout the year. You may need to make edits on a document type such as expiration dates name changes on the document update to a new form or update the Privacy level to make any of these edits start by clicking the documents tab on your left hand navigation, then select document types from the managing documents component. 01:02: Up next you will click the three dots to the right of the document type and select edit. This will take you to the configuration screen for the document type where you can make any edits that are needed for moving forward. Anything that is saved from this point on will only reflect new document uploads. It will not retroactively update previously updated documents. 01:26: Now I'm going to show you how to individually edit a patient's document type. By doing this you can edit the document type name the expiration date privacy level and description of the document. This is different than the steps. I just went over previously as those were for the document type for the entire organization these steps on the next slide will show you how to edit an individual patient's document. Sometimes you will need to make individual expiration dates rather than a whole and to do this you will go to the athletes profile and select the three dots to the right of the document and select edit. 02:05: After you've clicked edit. This will show a pop-up screen on what components you can edit on this document type for the individual athlete. Here you will see the options to update the document type the expiration date the Privacy level or add a description in. Once you have made these changes click, okay. 02:26: You now know some tips and tricks on document management. How to Delete a when completed incorrectly
  1. Find the athlete you wish to delete the document for
  2. Click on their “Documents” tab
  3. Click on the 3 gray dots next to the document you want to delete
  4. Click “Delete”
  5. Click “Delete” again
How to Edit a Document Type
  1. Click on your “Documents” tab on the left side of your screen
  2. Click on the 3 gray dots next to the document you wish to edit
  3. Click “Edit”
  4. Edit the document accordingly and click “Save Document”

How to individually edit a patient's document type (edit which document type, expiration date, privacy level, & description)
  1. Go to the athlete’s profile you want to change an expiration date for
  2. Click on their “Documents” tab
  3. Click on the 3 gray dots next to the document you want to edit
  4. Click “Edit”
  5. Update as needed and click “OK”
