Healthy Roster’s primary goal is to simplify access to medical records, provide real-time injury updates, and enhance communication between users and providers. All of this is conducted within a secure, HIPAA-compliant environment, ensuring sensitive information is shared only with authorized individuals. Accessible via both the mobile app and web platform, Healthy Roster also offers push notifications to keep everyone informed and up-to-date seamlessly.

Please Note: Terminology is different based on your setting, for example, a clinical setting uses Care Group as Organizations, Patient instead of Athlete, and Visits instead of Treatment, lastly Problems instead of Injuries, but the steps are still the same.

00:00: Hi, this is Nikki from healthy roster. 00:02: I'll be guiding you through the purpose and benefits of healthy roster along 00:06: with a step, by step overview on getting started and making the most of the app 00:11: as a primary user. 00:13: You might be wondering why your provider has invited you to join healthy roster. 00:17: While the specific benefits can vary depending on the group's needs healthy 00:22: rosters. Primary goal is to provide streamline access to medical records and 00:26: history real-time injury updates and enhanced communication between users 00:30: and providers. All of this takes place in a secure hipaa-compliant environment. 00:34: That ensures sensitive information is shared only with authorized individuals 00:39: healthy roster is accessible through both the mobile app and web platform 00:43: with push notifications. Keep everyone informed and up to date. 00:49: Now that you understand the purpose behind healthy roster, let's walk through setting up your 00:53: account to get started, look for an invitation email from your provider user. 00:57: If you haven't received one yet, reach out to the provider user and ask to be added to the 01:02: manage users tab on your patient profile. Your invitation will look similar to 01:06: the example here, you'll see options to download the healthy roster app from the IOS 01:10: app store or Google Play store, or you can also accept the invitation directly 01:14: on the web. Most importantly, your invitation will include a unique code. 01:18: This code is specific to you and is used to accept the invitation and Link 01:22: you to your patient profile. 01:25: Once you have downloaded the application, you will select on the login screen. 01:29: Sign up. 01:32: Now input your excess code exactly as it appears on your invitation. 01:38: Now input the email for your Healthy roster account, this email should 01:42: match the email that your invitation was delivered to 01:47: You will now input information to create your account. 01:50: When creating your password, you will need to have 8 plus characters and 01:54: uppercase and lowercase, as well as a special character or number Then 01:58: select your security questions. These questions are used, should you 02:02: need to reset your password or other entities within the application? Now 02:06: select next 02:09: Now read through the terms and the Privacy policies, this is essential 02:13: because it allows you the ability to understand your rights, the platform guidelines, and how 02:17: your data will be handled this ensures transparency and protects you from 02:22: unexpected issues related to privacy and data, sharing select, accept 02:26: terms to move forward. 02:29: Now that your account is set up, let's explore. 02:31: All the features available to you. The first page you'll see displays the patient 02:35: profiles. You have access to if you're a parent or legal guardian with multiple 02:39: patient profiles, each profile will appear separately here. 02:43: This page also allows you to contact the provider directly. 02:47: This is something we'll cover shortly to view. 02:50: Patient details, simply select view next to their name and navigate 02:54: to their profile. 02:56: Now that we're within a patient profile, let's walk through each feature and discuss 03:00: its functions and capabilities. Let's first select patient details. 03:07: The patient details tab is where you can update information for this patient such 03:11: as a photo. So the provider can place a face to the name, insurance information and 03:16: important medical details. 03:19: Now, let's review the care Circle table in healthy roster, that care Circle refers to a 03:23: group of individuals authorized to access and participate in patient's care and health 03:27: updates. Members of The Care, Circle can view relevant health information, receive 03:32: real-time updates on problems and communicate securely within the platform to 03:36: ensure coordinated comprehensive care for the patient. 03:48: Once you've selected the care Circle, you may add users to the care Circle by selecting the 03:52: plus icon and inputting their information, you will need to attest if 03:56: this user is going to be a primary user or not. 03:59: Once they have accepted their invitation, they will then show on 04:03: the table for care Circle. 04:16: Now, let's review the documents tab documents within healthy 04:20: roster. Can mean many things, you may have a signed documents that you need to complete have 04:25: documents that your provider has uploaded and you need to view or maybe you have a document 04:29: that you want to share with your provider. The document tab will streamline 04:33: and centralize document collection in one secure location. 04:36: This supports a HIPAA compliant data management system for 04:40: electronic forms. 04:43: You will see here in my example, my patient has many missing required 04:47: documents. I'm able to select one. 04:51: Set the document permissions and select how I'd like to complete the document 04:55: itself. Once the document populates on your screen, you 05:00: can read the information and complete the document as necessary. 05:03: Once completed select submit and the document in its completed 05:07: state will now save to the patient profile. 05:18: The next tab to review is referrals in healthy roster, referrals 05:22: are a process that allows the athletic trainer or healthcare provider to 05:26: direct a patient to a specialist or another Healthcare professional for 05:30: evaluation or treatment referrals can include details, such as 05:34: the reason for the referral necessary, medical history and Specific Instructions 05:38: or recommendations by using referrals healthy roster. 05:42: Enhances coordination of care, improves patient outcomes and can streamline 05:46: the overall health care experience. 05:48: You will see in my example, my provider has scheduled a referral for the patient. 05:52: This referral will show any relevant information to the primary user 05:56: about the referral and even allow them to add the details to their personal calendar. 06:02: A large benefit to healthy roster is that you as the primary user have 06:06: the ability to directly message your provider user overall messaging 06:11: will enhance the user's experience by fostering effective communication. 06:14: And ensuring that all users are aligned with health and wellness matters. 06:19: Messaging for primary users is only available on the app and not the web platform, 06:23: but we've made it easy for you to contact your provider multiple ways 06:27: on our application. 06:30: One option is from the patient profile, select contact provider and you will see 06:34: the chat history and can continue the conversation next from 06:38: the patient's table. Again select contact provider and the same action will populate 06:42: at any point. You might also simply select the messaging tab on the bottom 06:46: of the screen. 06:48: As a primary user, you also have the ability to add a problem when you do this, 06:52: it alerts your provider user that you require attention, effectively, initiating, 06:57: the chain of command for your care. Well, it's not necessary for you to report. 07:01: Every issue. This feature is helpful, if you sustained an injury in, your provider 07:05: is unavailable and you need further attention from them. 07:11: Select add new problem to create a new problem or injury. 07:14: Then you'll input the required information to the best of your ability. 07:18: Don't worry about getting this information. Exactly right. 07:21: Your provider, user can edit this information later if necessary select 07:25: the problem status as well as different permissions. 07:29: You will also need to input details for the problem. 07:31: And this is especially helpful for your provider user to know what's going on. 07:36: The notifications tab is next. Primary users and healthy roster will receive 07:41: several types of notifications. Varying from problem updates, to 07:45: provider messages care, Circle changes, and maybe even return to play 07:49: updates. These notifications ultimately are intended to help keep primary 07:53: users informed. And engaged with their Healthcare Journey. 07:57: And lastly we have the settings tab here, you can log out, change to dark 08:01: mode, view resources, enable device Biometrics, and deauthorize your 08:05: device. 08:07: You now have an understanding as to what healthy roster is what it's used for 08:11: and its benefits but also how to use it as a primary user for 08:16: more information or questions. You should look for an email, invitation 01:08: from your provider users. If you haven't received one yet, please reach out to your provider user 01:13: and ask to be added to the manage users tab on your patient's profile. 01:17: Your invitation will look similar to the example shown here. 01:19: You will see options to download the healthy roster. 01:22: Application via the iOS store or the Google Play Store. 01:25: You can also accept this invitation directly on the web which is the flow. 01:29: We will be taking in this video. Most importantly, when you're looking at your invitation, 01:33: it will include a unique code. You see this item highlighted here? 01:37: This code is specific to you, and is used to accept the invitation, 01:41: it will link you to your patient profile. 01:46: On your invitation, you can select click here to sign up via the web instead. 01:51: This will take you directly to this page. Here, you will take your code 01:55: and input it. Exactly as it appears on your invitation. 02:00: Select next to advance. 02:02: Now select I need to create a new account. 02:07: You will now input information to create your account. 02:09: When creating your password, you will need to have 8, plus characters, uppercase 02:13: lowercase, special characters or a number You will then 02:18: continue on inputting information as necessary. 02:20: Once ready, select register. 02:24: Now read through the terms and privacy policies, this is essential, as it allows you the 02:28: ability to understand your rights, the platform guidelines and how your data will be handled. 02:32: This helps to ensure transparency and protects you from unexpected issues 02:36: related to privacy and data sharing. 02:41: Once you have read through and agree to the terms, check the box stating that you have read 02:45: and agreed to our terms. 02:48: Now, select next 02:51: Now, you will create three security questions, once complete select 02:55: save answers. 02:57: Your account has now been created since you're on the web application, you will 03:02: now select continue to dashboard. 03:04: Your dashboard page is designed to provide a clear, snapshot of key 03:09: details at a glance. This page offers valuable insights to get you started 03:13: quickly. Most often you'll be navigating directly to your patient profile. 03:17: Let's follow that flow. By selecting the patient you see here 03:22: The first page along the patient profile is going to be patient problems. 03:27: Think of these as ongoing illnesses or injuries that have been documented. 03:31: This is very powerful selecting the problem. 03:36: You will be navigated directly to the problem timeline. 03:38: Here, you will see a clear chronological view of the patient's 03:42: history. Even their referrals comments and 03:46: attachments as provided by users that have access to this profile. 03:53: You have the power to add or comment on this timeline as well, this helps, 03:57: of course, improve communication and streamline that documentation, it 04:01: helps us to make sure that the provider users are also using enhanced decision-making and 04:05: keeping you in the loop. All in all, this is a time-saving and compliant 04:09: way to view the progression of your injury in a timely manner. 04:14: As you can see, on the timeline, you're able to see referrals that are linked to this problem 04:18: as well. If you'd like, you can also click on the referrals tab on 04:22: the navigation, for this patient profile. 04:26: Here you will see all of the referrals that have been created for this patient. 04:29: If you had multiple referrals and they were completed scheduled or 04:33: closed, you will see the listing here. This patient only has one referral. 04:39: Selecting the menu icon to the right of the referral and now selecting open. 04:45: You will see the details of this individual referral. 04:48: Services that are being rendered by, which provider and what Associated 04:52: problems? 04:55: You will see here, navigating back to the problem once that referral has been completed, 04:59: and your provider has updated the information for this problem, you will see it 05:03: appropriately on your timeline again, keeping communication, clear And 05:08: Timely. 05:11: Now, let's review the documents tab within healthy roster, documents can mean many 05:15: things. 05:21: Once you've navigated to the patient's document table, you might see a similar view. 05:26: As the primary user often, you are required to complete documents electronically 05:31: throughout healthy roster. My patient has missing required documents 05:35: that were assigned by the provider user. 05:38: You also have the ability to upload documents that are unassigned. 05:41: If you want to share information with your provider, the document tab overall 05:46: will streamline and centralize document collection in one secure location, 05:50: this supports a HIPAA compliance data management system for electronic forms. 05:56: Completing your required or missing documents is simple, select the 06:00: missing document, then read the instructions that have been provided by 06:04: your provider user. 06:06: Selecting fill online will navigate you directly within the platform to 06:11: complete the document. 06:13: Now, complete the document in its entirety. You see here? My 06:17: document includes signatures. This flow will be the most common flow 06:21: for your forms that have been assigned in your documents tab. 06:25: If you see your signature is showing in a different format, that means your 06:29: document is PDF backed. Follow along with additional training to 06:33: learn more about those signatures once your document is complete select, 06:37: okay? 06:39: Here you can now enter document details, if desired you do not have 06:44: to input information here but if there's something you would like the person reviewing this 06:48: document to note, you can input it here once you're ready. 06:51: Select okay. 06:54: Now, let's review the teams tab on the patient profile. 06:58: Here, you will see all the teams that your patient is associated with under this organization. 07:04: Now, let's review the details tab. 07:06: You will now see all of the details that your provider user has input for this patient. 07:10: We do recommend selecting the icon for image and uploading an 07:15: image of the user. This helps put a face to the name 07:19: for your provider user 07:22: We do recommend as the primary user answering all of the questions on this table if 07:26: possible. The medical details section is a great area to input 07:30: things, such as allergies. Medical conditions or 07:35: history alerts that you'd like to provide or user or other users to see at 07:39: a quick glance. 07:42: If you're the primary user, you're also able to select the plus icon to add emergency 07:46: contacts when necessary. 07:49: If you've made edits to the details tab, make sure that you select 07:53: save. If you not select, save the information will not be stored 07:57: on the profile. 07:59: Now, let's review the last item on the patient's table manage users. 08:05: As we've discussed in detail, healthy roster is all about keeping communication 08:10: lines open. Because of that, we want to make sure you understand the users 08:14: that have access to your patient's profile. 08:17: Direct access will list all of the users that have been granted 08:21: access to this particular profile. 08:24: You will see yourself listed here as the primary user. 08:29: The next tab is inherited access. These users will have access 08:33: to this patient profile because they've been granted access at a higher level, that 08:38: being a primary user, a team or organizational level 08:42: user. If you see an organizational or Team level user, 08:46: you can edit their access from this page. 08:50: And lastly, you will see invitations, these are users that have been invited 08:54: but have not yet accepted their invitation as the primary user, you 08:58: have the ability to add other users to view this patient profile. 09:01: If you'd like, 09:05: You now have a foundation of what healthy roster is and what you can do within 09:09: it. Let's review a couple more of the capabilities that you have access to 09:13: from that dashboard page. 09:16: First, let's talk through notifications. 09:19: As the primary user, you will receive notifications for things such, as status 09:24: updates, missing documents, scheduled follow-up services, and 09:28: new created problems. 09:31: Clicking on that notification will take you directly where you need to navigate to. 09:36: You will also notice on the left hand, side of the screen, the navigation, toolbar 09:41: gives you a notifications tab as well. 09:43: You can select that at any time. 09:46: Here you will see the history of all your notifications. 09:48: If you'd like to see previous notifications toggle off unread, 09:53: only If you'd like to clear your alerts you can select the menu icon. 09:58: In doing. So you will then check mark As read. 10:04: You are also able to access the messaging platform on your web application 10:08: to do so select a message icon on the left navigation. 10:13: Once within the chat feature, you will see your recent groups. 10:16: I'm going to show you two different routes that you might see first. 10:20: I'm going to select Sports Medicine announcements. 10:24: Here, you will see. I simply have an announcement. 10:26: You cannot type nor communicate within this. 10:29: This is typically intended for mass communication when necessary. 10:35: Here, you will see a direct link to your provider user. 10:42: Here you are able to directly. Send a message to your provider user, this 10:46: helps to increase communication and decrease delays in care. 10:52: Know that when you're communicating within the chat feature, you are sending a direct 10:56: message. That is safe secure and HIPAA compliant. 11:01: The last tab on the left navigation, is the help tab here, you 11:05: have direct access to our training materials, as well as the ability to 11:09: submit a ticket directly to our help desk. 11:14: You now have an understanding as to what healthy roster is what it's 11:18: used for and its benefits. If you have not received an email invitation to join Healthy Roster, please contact your care provider with the following information:

  • Patient's First and Last Name
  • Patient's Date of Birth
  • Patient's Gender

If the patient is under 18, please also include the first and last names of the patient’s parents/guardians. If the athlete is 18 or older, please include the patient’s email address.

This video outlines the process of accepting an invite to join Healthy Roster and creating a new account. This is for parents of youth patients or adult patients. *Athletes who are under the age of 18 will need to have their parents create the account.
